INFORMATION ABOUT COMPANY ALERTS

WHY SHOULD I MONITOR A COMPANY ?

Setting up an alert on a company allows you to be informed of all events occurring at that company.

For example, you can be notified if a company has changed its director or activity, is in court-supervised recovery or has filed its annual financial statements with the registry.

All this information will enable you to check the company's situation on a regular basis.

HOW DO I SET UP AN ALERT ?

The « Alerts » and « Set up a free alert » links give you access to the alert features :

  • The « Set up a free alert » link displayed as part of the « Alert portfolio » feature redirects you to the advanced search page in order to select the company to monitor.
  • The "Set up a free alert" and "Alerts" links displayed on the "Help and FAQ" page and home page redirect you to an information page. On this page, you can either find out how alerts work or access your portfolio or the advanced search page.

The alert setup option is provided at three levels of the Infogreffe.fr site :

  • at the company identity record,
  • on the document selection page,
  • in the section entitled « My previous orders ».

This functionality is always linked to a company.

After the company lookup (by company name or RCS identification number), you may access :

  • either the identity record, i.e the « Set up a free alert » option is displayed on this record,
  • or the document selection page (list of products available for the company viewed), i.e the « Set up a free alert » option is displayed on this list.

Selecting this option opens the alert setup window. The information that can be monitored is displayed in this window.

You can be notified by email and/or SMS when your alert portfolio is updated as a result of the addition of detected events : by default, this email notification (or SMS notification) will be sent to the email address (or mobile phone number) provided in your profile. However, you can update this email address (or mobile phone number) before setting up the alert (see Help : Be notified by email and/or SMS ).

Once you have selected the information you wish to monitor, press the « Confirm » button to add the new alert to your alert portfolio in order to activate it. The alert setup window closes automatically and the alert is added in real time to your portfolio with a status of « Pending ».

Your alert will be active the following morning.

Once the alert has been set up, you can still access the « Set up a free alert » product. In this case, selecting the product opens the alert setup window in view format : you may then view the description of the existing alert but you cannot make changes to it.

Updating an alert (change or delete) is possible only at the alert portfolio level (see Help : Change or Delete an alert).

In the « My previous orders » section, you may access the set up a free alert window for each company included in the order by using the « Set up a free alert » link. This will allow you to select the areas/sub-areas to monitor and to add this new alert to your alert portfolio.

NOTE : the alert that you set up in the « Preferential rights and Pledges » area will be automatically activated without any intervention or confirmation by the registry. An alert can be placed only on debtors which are identified by their RCS identification number. Preferential rights or pledges that can potentially be or have been recorded on a debtor not identified by its RCS identification number or improperly identified, or recorded at an address other than the one for which the alert was set up will therefore not be included in the alerts. Only reports issued and signed by the registrar authenticate the existence or non-existence of entries.

HOW DO I SET UP AN ALERT AFTER VIEWING A DOCUMENT ?

In the « My previous orders » section, you may access « the set up a free alert » window for each company included in the order by using the « Set up a free alert » link. This will allow you to select the areas/sub-areas to monitor and to add this new alert to your alert portfolio.

TIME AN ALERT IS IN EFFECT

You may deselect this option if you do not wish to receive a notification or also select the option to be notified by SMS.

  • If you wish to be notified by email, please ensure that the address entered is correct and that your mailbox is not full.
  • If you wish to be notified by SMS, please ensure that the mobile phone number entered is correct in order to receive notifications.
YOUR ALERT PORTFOLIO

Your alert portfolio allows you to easily manage the list of companies monitored :

  • You can view the list of alerts set up on the website www.infogreffe.fr.
  • You can change or delete alerts set up on the website www.infogreffe.fr.
  • You can view the details of alerts set up on the website www.infogreffe.fr, and view and purchase notices.
  • Create new alerts.

You can access your alert portfolio in the following sections :

  • The « My account » ink which appears in the top right corner of each page. On the page displayed, select the « My alert portfolio» option.
  • The « Alerts » link on the horizontal menu bar on the left side of each page. On the page displayed, select the « My alert portfolio » option.

The following information is displayed for each company monitored :

  • The company's name and RCS identification number.
  • The alert area (RCS).
  • The alert status :

Active : the alert is current and will result in events.

Completed : the alert was completed after closing automatically. No further events will be detected.

Pending : the alert was set up during the day and has not yet been activated.

  • The end date of the alert and the reason it was closed, if the alert was closed automatically.
  • An icon indicating a notification if new notices to view have been detected.
  • The number of notices to view (not yet purchased) and the number of notices already viewed (purchased).
  • The « Change/Delete » link to update the alert.

By default, companies for which notifications have been issued are displayed at the top of the list.

MANAGE YOUR ALERT PORTFOLIO

Your alert portfolio allows you to easily manage the list of companies monitored :

You can view the list of alerts set up on the website www.infogreffe.fr.

All information needed to properly track your alerts is displayed here : company name, RCS identification no., notification issued/not issued, number of notices and their status, description of the alert (area, sub-area monitored), status of each area, date and reason each area ended.

By default, this list is sorted by notification: companies for which notices were detected during the past month are displayed at the top of the list. However, you can also sort this list by company name (ascending or descending alphabetical order).

You can also filter your portfolio by selecting a status from the drop-down list : « Active, Pending, Notification issued, Completed ». All alerts having an area with this status will be displayed in the list and only the area with this status will be displayed for each alert.

The « Notification » symbol will be displayed next to the company until the notices to view have been purchased and for a period of 1 month. At the end of this period, if the notices have not been purchased, this symbol will no longer be displayed ; however, notices to view may still be purchased and notices viewed will still be viewable.

There are certain cases where alerts are CLOSED AUTOMATICALLY : deregistration of the company, transfer of the head office outside the registry's jurisdiction, liquidation by order of Court.

The detection of deregistration, transfer and liquidation by order of Court events automatically closes alerts. In the alert portfolio, the status of all areas associated with the alert will be changed to « Completed » . Companies that are deregistered, in liquidation by order of Court or transferred cease to change, which makes the alert unnecessary.

In case of a transfer of head office, you will need to set up an alert, if desired, at the registry of the new head office. Following the normal company search by RCS identification number, you may set up the alert on the new head office on the product selection screen.

Alerts which have been closed automatically will be displayed for 1 month. At the end of this period, the alerts and the history of related notices will no longer be viewable in the alert portfolio.

You can change or delete alerts set up on the website www.infogreffe.fr.

The « Change/Delete » link displayed to the right of the company allows you to update an existing alert by changing the areas/sub-areas monitored or by deleting the alert set up (see Help : Change or delete a web alert).

Note : Alerts deleted using the « Delete » option will no longer be viewable in the alert portfolio or in the history of related notices.

Note : Notices related to the deselected area(s) will no longer be viewable in the notice history. Events related to the deselected sub-area(s) will still be viewable in the notice history.

You can view the details of alerts set up on the website www.infogreffe.fr , view and purchase notices.

The « X notices to view » and « X notices viewed » links displayed to the right of the monitored company allow you to access the history of the notices detected. You can then choose to view notices already purchased or purchase new notices detected (see Help : How do I view/purchase notices).

You can create new alerts

The « Set up a free alert » link redirects you to the advanced company search page in order to search for and select the company to monitor. On the product selection screen ( « Product selection » tab), select the « Set up a free alert » product to create a new alert (see Help : How to set up an alert).

STATUS OF AN ALERT

The status of an alert changes according to certain criteria. This status is associated with a monitored area.

An alert may be :

  • active : the alert is current and will result in events.
  • completed : the alert was completed after closing automatically. No further events will be detected.
  • pending : the alert was set up during the day and has not yet been activated.

When an alert is completed, the date and reason the alert was closed are displayed in the alert portfolio.

An alert deleted by the user no longer appears in the alert portfolio once the user confirms deletion.

CHANGE OR DELETE A WEB ALERT

You can change your alert :

  • by adding/deleting categories (legal entity/individual, director, routine comments, collective liquidation proceedings) related to an area (RCS),
  • by adding/deleting an area.

To do so, you must select/deselect the checkboxes located next to each line.

Once your new selection has been made, you must update the alert by pressing« Confirm » to confirm your selection.

Notices related to the deselected area(s) will no longer be viewable in the notice history.

You may delete an alert set up on a company (without deselecting all the boxes) by using the « Delete » link next to each company. After confirming the deletion, the alert will no longer appear in your alert portfolio.

The deleted alerts and the history of related notices will no longer be viewable in the alert portfolio.

HOW DO I VIEW/ORDER NOTICES

The « X notices to view » ou « X notices already viewed » links displayed for each monitored company allow you to view the history of all events that occurred on the company.

All notices (purchased or not purchased) are displayed in reverse chronological order for the monitored company and for all the areas.

Notices to view

The detection date of the notices is displayed next to the notices to view. A « Notice » button allows you to purchase all notices related to the company as of the corresponding date (all areas included).

To view these notices, you must complete and pay for your order. In the section entitled « My previous orders », the « View » link will open the notice details window. The details of all the notices you just purchased will be displayed in this window.

For each notice, the notice date and old and new situation will be displayed.

The notices to view (to be purchased) will be displayed for two months only. At the end of this period, these notices will no longer be viewable or available for purchase.

Notices already viewed

The date, area and types of notices detected as of the current date and related to this area are displayed next to the notices viewed.

A « View » link allows you to view the details of these notices (date of the event, old and new situation).

The notices viewed (and therefore purchased) will be displayed for five days only after the purchase date. At the end of this period, the notices already viewed will no longer be viewable.

HOW DO I ORDER DOCUMENTS AFTER VIEWING EVENTS ?

When viewing the list of notices detected for each alert, you may access a page to select the available documents by pressing the « View/Order : Other documents » button : RCS certificate (Kbis), Debt report, etc.

You may add all the documents/media of your choice to your selection.

When you click on the « Complete order » link, you will be redirected to your selection so that you can pay for your order. However, you can still view notices of other alerts in your portfolio and even order other documents.
